Outsourced accounting in India: what it really costs
There is no government fee for maintaining books of account. What you pay is the professional fee for the accounting work — and what it can cost you if books are not kept properly.
| Cost item | Amount | Notes |
|---|---|---|
| Government fee for maintaining books | ₹0 | No registration or government fee is payable to keep books of account. |
| Our professional fee | ₹2,000 / ₹4,000 + GST per month | Up to 200 / up to 500 entries a month. Above 500 entries, multiple GSTINs or backlog books: custom quote. GST, TDS and ITR filing fees are separate unless bundled. |
| Accounting software licence | Depends on your software | We work on your existing Tally, Zoho Books, Busy, Vyapar or Marg; any licence cost is confirmed in your quote. |
| Penalty for not keeping books (Income-tax) | ₹25,000 | Section 271A of the 1961 Act; section 441 of the Income-tax Act, 2025. |
| Penalty for not getting a tax audit done | 0.5% of turnover, up to ₹1.5 lakh | For FY 2025-26, under section 271B of the 1961 Act. |
| Company books not kept as per section 128 | Fine of ₹50,000 to ₹5 lakh | On the managing director, CFO or other officer responsible, under section 128(6) of the Companies Act, 2013. |
What decides your monthly fee
- Number of entries – sales, purchase, expense, bank and journal entries per month.
- Bank accounts & GSTINs – each account and registration adds reconciliation work.
- Quality of records – organised bills cost less to process than a shoebox of receipts.
Outsourced vs in-house accountant
- No salary, PF/ESI, leave or replacement worries — you pay for the work you need.
- Books are reviewed by Chartered Accountants, not left to one person.
- Work continues when someone is on leave or quits.
- Your books stay in line with the latest GST, TDS and income-tax changes.
Who must maintain books of account in India?
From 1 April 2026, section 62 of the Income-tax Act, 2025 (earlier section 44AA of the Income-tax Act, 1961) decides who must keep books for income tax. Companies, LLPs and GST-registered businesses have their own rules too.
| Who | When books are required | Law |
|---|---|---|
| Individual or HUF in business or a non-specified profession | Income above ₹2.5 lakh or turnover / gross receipts above ₹25 lakh in any of the 3 preceding years (or likely to exceed in a new business) | Section 62, Income-tax Act 2025 (earlier s. 44AA) |
| Firm, LLP, company or other person in business | Income above ₹1.2 lakh or turnover / gross receipts above ₹10 lakh in any of the 3 preceding years | Section 62, Income-tax Act 2025 |
| Specified professionals – doctors, lawyers, CAs, engineers, architects, IT and technical consultants, interior decorators, company secretaries | Always; the detailed books listed in the Income-tax Rules (cash book, journal, ledger, bills and vouchers) apply once gross receipts exceed ₹1.5 lakh in any of the 3 preceding years | Section 62 & Income-tax Rules, 2026 |
| Presumptive taxpayer declaring lower profit than the presumptive rate | Books required, and a tax audit if income is above the basic exemption limit | Section 62(2)(c), Income-tax Act 2025 |
| Every company | Always – double-entry, accrual-basis books at the registered office, kept for 8 financial years | Section 128, Companies Act 2013 |
| Every LLP | Always – double-entry books kept for 8 years | Section 34, LLP Act 2008 |
| Every GST-registered person | Always – records of sales, purchases, stock, input tax credit and output tax at the principal place of business | Section 35, CGST Act 2017 |

Audit trail, record retention and keeping your data safe
Accounting software is now part of compliance. Companies must use software with an audit trail, and electronic books must stay accessible in India.
Audit trail for companies (Rule 3(1))
- Since financial years starting on or after 1 April 2023, every company using accounting software must use software that records an audit trail (edit log) of each transaction and every change, with the date.
- The audit trail cannot be disabled and must be kept like the books – for 8 years.
- Your statutory auditor must report on it under Rule 11(g) of the Companies (Audit and Auditors) Rules.
- Electronic books need a daily backup on servers in India (Rule 3(5), Companies (Accounts) Rules).
We check that the audit trail is switched on in your software before we post a single entry.
How long you must keep records
| Law | Keep for |
|---|---|
| Income-tax (from tax year 2026-27) | 7 tax years from the end of the tax year |
| Income-tax (FY 2025-26 and earlier) | 6 years from the end of the assessment year |
| Companies Act / LLP Act | 8 financial years |
| GST | 72 months from the due date of the annual return |
How we protect your financial data
- Only the accountant and reviewer assigned to you can see your files.
- Documents are exchanged through secure shared folders, email or WhatsApp – your choice.
- We never ask for your net-banking password or OTPs; bank statements are enough.
- Your software, data and logins always stay in your name.
- Your information is used only for your accounting and filings.
- If you leave, we hand over complete, up-to-date books.
Due dates your books must be ready for
Good bookkeeping is timed around these statutory deadlines, so every return is filed from reconciled figures.
| Compliance | Due date | What the books must show |
|---|---|---|
| TDS / TCS deposit | 7th of the next month (30 April for March) | TDS deducted on every payment in the month |
| GSTR-1 (sales) | 11th of next month; 13th after the quarter under QRMP | Complete, invoice-wise sales register |
| GSTR-3B (tax payment) | 20th of next month; 22nd or 24th after the quarter under QRMP | Output tax and input tax credit matched with GSTR-2B |
| Quarterly TDS statements | 31 July, 31 October, 31 January, 31 May | Deductee-wise TDS with PAN and challan details |
| ITR for FY 2025-26 | 31 July 2026 (no business income); 31 August 2026 (business, no audit); 21 November 2026 (audit cases, extended by CBDT Circular 07/2026) | Finalised profit & loss account and balance sheet |
| GSTR-9 annual return | 31 December after the financial year | Year-end GST reconciliation with books |
| Company AOC-4 / MGT-7 | Within 30 / 60 days of the AGM (AGM by 30 September) | Audited financial statements |

What is included in online accounting and bookkeeping services?
Recording all sales, purchase, expense, receipt and payment entries in your accounting software, monthly bank reconciliation, GST and TDS working, payables and receivables tracking, MIS reports and year-end finalisation for your ITR or audit. Filing of GST, TDS and income-tax returns is charged separately unless bundled with your plan.
How much do bookkeeping services for a small business cost?
Our plans start at ₹2,000 + GST a month for up to 200 entries and ₹4,000 + GST a month for up to 500 entries. Above 500 entries a month, with multiple GSTINs or for backlog books, we share a fixed custom quote, usually within 24 hours. There is no government fee.
Is it mandatory to maintain books of accounts in India?
Yes, for most businesses. Companies, LLPs and GST-registered persons must always keep books. For income tax, individuals and HUFs in business must keep books if income exceeds ₹2.5 lakh or turnover exceeds ₹25 lakh in any of the 3 preceding years; for firms, LLPs and companies the limits are ₹1.2 lakh and ₹10 lakh. Specified professionals such as doctors, lawyers and CAs must also keep books.
What is section 44AA called under the new Income-tax Act, 2025?
From 1 April 2026, the rules on maintaining books of account are in section 62 of the Income-tax Act, 2025, with the books listed in the Income-tax Rules, 2026. For FY 2025-26, section 44AA of the Income-tax Act, 1961 still applies. The thresholds are the same under both.
What is the audit trail requirement for companies?
Under the proviso to Rule 3(1) of the Companies (Accounts) Rules, 2014, from 1 April 2023 every company using accounting software must use software that records an audit trail of every transaction and every change made, with the date, and the audit trail cannot be disabled. It must be preserved for 8 years.
Which accounting software do you work on?
We work on Tally, Zoho Books, Busy, Vyapar and Marg. If you do not use any software yet, we help you choose one that suits your size and budget.
Is my financial data safe if I outsource accounting?
Yes. Only the accountant and reviewer assigned to you can access your files, we never ask for net-banking passwords or OTPs, and your software and data always stay in your name. Your information is used only for your accounting and filings.
Can you clear backlog or pending books of earlier years?
Yes. We can rebuild and reconcile books for past financial years from bank statements and bills, so you can file pending returns or get an audit done.
Do you also file GST returns, TDS returns and ITR?
Yes. Because we maintain your books, we can file your GST returns, quarterly TDS returns and income tax return from the same reconciled figures. These are quoted separately or bundled with your bookkeeping plan.
Is there a long-term contract or lock-in period?
No. You can start on a monthly or annual basis and change your plan as your business grows.
